How do I create a filmmaker account for film equipment rental in Kathmandu?
To access our professional inventory, you must register a verified filmmaker profile. Please submit a valid Government ID or Passport along with your professional cinematography portfolio, IMDb page, or registration documents for your production company in Nepal.
Is a security deposit required for cinema gear hire in Nepal?
Yes. First-time clients or crews booking high-value production equipment (like Drones, or Sony FX packages) must provide a security deposit. This can be settled via credit card hold, cash, or a bank guarantee. We offer corporate accounts with waived deposits for established local film production houses in Kathmandu.
Can international film crews rent video production equipment from Kimbu Rental?
Yes, we specialize in supporting international media houses and foreign crews shooting documentaries, commercials, or feature films in Nepal. International clients must provide a passport copy, proof of a valid Nepal Film Filming Permit, and the contact details of their local fixer or logistics partner.
Booking & Rental Process
How do I book movie production equipment, and how far in advance should I do it?
You can build a custom gear list through our online catalog or send your production rider directly to our booking team via WhatsApp. We highly recommend booking standard camera kits 3 to 5 days in advance. For heavy-duty lighting rentals, car rigs, and grip trucks, please book at least 2 weeks prior to your shoot date to secure availability.
What is your booking cancellation policy for commercial shoots?
Our cancellation terms are designed to balance shifting production schedules:
- 48 Hours or More Notice: Full cancellation with no penalty.
- 24 to 48 Hours Notice: A cancellation fee of 50% of the total rental value applies.
- Less than 24 Hours Notice / No-Show: Subject to a 100% rental charge.
Do you provide a camera gear prep day at your Kathmandu facility?
Yes. For complex multi-camera setups or long-term narrative shoots, we encourage Cinematographers and Camera Assistants to perform a technical camera prep day. Please schedule your check and lens calibration with our booking coordinators ahead of time.
Return Process & Late Policies
What should I do if my film production runs over schedule?
If your shoot is delayed, you must request an extension by contacting our office at least 4 hours before your scheduled return window. Extensions are subject to gear availability. If the equipment is already booked by another film crew, the gear must be returned on time.
What are the late fees for camera and lighting rentals?
Late returns delay other crews. Returns made after 11:00 AM without an authorized extension will be charged a late fee equal to 50% of the daily rental rate. Delays exceeding 4 hours will automatically be billed as a full additional rental day.
Damages, Liability & Set Security
What happens if equipment is damaged on set during a shoot?
The renter assumes full financial liability for all rented gear from pickup to check-in. In the event of on-set accidental damage, our certified technicians will evaluate the units. The renter will be invoiced for the exact cost of replacement parts and authorized factory repair labor.
Do you offer a production damage waiver or equipment insurance?
We offer an optional internal Damage Waiver program for select camera packages and accessories that covers basic cosmetic and minor operational wear. It does not cover negligence, water damage, extreme aerial/sports rigging, or theft. For large-scale cinematic configurations, we require a valid third-party Production Insurance certificate listing Kimbu Rental as additionally insured.
What is the protocol if gear is lost or stolen during production?
In case of theft or loss, you must file an official Nepal Police Report immediately within the local jurisdiction where the incident occurred. A copy of this report must be provided to Kimbu Rental within 24 hours. The renting party remains legally responsible for the total replacement cost of the equipment.

Do you assist with CAAN Drone Permits in Nepal?
We provide all necessary hardware serial numbers, drone registrations, and manufacturer certificates required for your applications. However, obtaining formal flight clearances from the Civil Aviation Authority of Nepal (CAAN) and the Ministry of Home Affairs remains the responsibility of your production company or local fixer.
Can your cinema gear be deployed to high-altitude regions like Everest or Mustang?
Yes. Please notify us during your booking if the gear is traveling to rugged terrain or sub-zero environments. We will package your entire order in airtight, shockproof Pelican flight cases. Because extreme cold drastically impacts performance, we can configure your kit with extra cold-weather lithium-ion batteries.
Are your high-capacity V-mount batteries legal for domestic flights in Nepal?
Yes. We maintain a specific stock of domestic flight-compliant V-mount and Gold-mount batteries that adhere strictly to airline watt-hour (Wh) safety limitations for carry-on baggage. Please request these flight-safe battery kits specifically if your crew is flying from Kathmandu to regional airports like Lukla, Pokhara, or Jomsom.
